Aldor next to Excel

Excel can do a lot. Pflegekassen billing isn't one of them.

Many Alltagshilfen start with a spreadsheet. A good start. Up to about five employees and ten clients it works — beyond that it gets tight.

Aldor

One tool for Alltagshilfen.

One app for clients, employees, schedules, documentation, Pflegekassen billing, and payroll — plus a white-label customer portal for your families.

  • Customer portal in your brand, your own domain
  • Live tracking without phone calls
  • § 45b budget transparent for families

Excel and spreadsheets

A spreadsheet for everything.

Excel or Google Sheets, a WhatsApp group for the team, and a shoebox for the receipts. That's how almost every Alltagshilfe starts.

What you don't get anywhere else

An experience for your customers.

While other tools only run the back office, with Aldor you give your families their own portal — in your brand, with live tracking, budget transparency, and self-rescheduling.

01

White-label

Your domain, your colours, no Aldor logo. Families see "their" Alltagshilfe.

02

Live tracking

Families see the ETA. No one has to call, no one has to staff a phone on your side.

03

§ 45b transparent

Families always see what's left of the relief budget.

04

Self-reschedule

Booking requests from customers, approval by you — saves calls, every step logged.

What Aldor does differently

Three points where Aldor makes life easier.

01

When the sixth employee joins

Five employees fit a sheet. By eight, the sheet is full and no one is sure which version is current. Aldor has every employee in one overview — including the ones on holiday or off sick.

02

When the Pflegekassen run is due

§ 45b means every month — count what each client has left, send an aggregate invoice to the Pflegekasse, send the remainder to the client. Aldor does the math. You press one button at the end of the month.

03

When an employee leaves

Who last cleaned at Mrs Schmidt's? Who has the keys? Who knows the door code? It's all in Aldor — per client, with date and person. Handover in 20 minutes.

What you do with it Aldor Excel
White-label customer portal End customers see your brand, not ours. Included. Your domain, your colours, your sender email. Not possible — a spreadsheet has no brand.
Live tracking for end customers Families see when their helper will arrive. Included. Arrival time in real time, without exposing the helper's movement data. Not possible.
§ 45b budget overview for end customers Families see what's left of the relief budget. Included. Live balance, monthly summary. Manual Excel column; never updated in real time.
End-customer self-reschedule Booking requests instead of phone calls. Included. Request from the family, approval by you, every step logged. Phone call or email.
Documentation on the phone In the client's living room, signed with a finger. On any smartphone, around 30 seconds per visit, even without signal. Paper slips, typed up later — or photographed into a WhatsApp group.
Pflegekassen billing Aggregate invoice with assignment; remainder direct to client. One click per month, with payroll and bookkeeping export. Manual math, Word letter, print, envelope.
Tax-advisor connection DATEV or Lexware, no CSV ping-pong. DATEV and Lexware export included; interface for your own tools available. None. Hand-rolled CSV exports.
Drafting help for emails Family reminders, payment chasers, replacement planning. Aldor proposes, you read and sign off. Nothing leaves without your confirmation. None. You write every email yourself.
Tenant isolation Other Aldor customers can't see your data. Strict separation in the database. Even we only read when you grant access during a support case. Whoever has access to the file sees everything.
Where your data lives Server and backup location. Hetzner data centres in Nuremberg and Falkenstein. Backups stay in Germany. Local or OneDrive — depending on who set it up.
From contract to first visit How long setup takes. Two weeks, in the contract. For larger imports we handle migration ourselves in the first six months. Already in place; you have it.
Contract term How long you commit. Monthly or yearly cancellable. No automatic renewal beyond the term. No commitment — Microsoft 365 from €5.60/month.
Pricing List prices or on request. List prices on the website. From €49 per month. €5.60–22.90/month (Microsoft 365).
What the software is for Provider's main target group. Alltagshilfen under § 45a SGB XI in Germany. Universal spreadsheet tool.

Comparison under § 6 UWG. As of May 01, 2026. Both products evolve; for corrections please contact info@aldor.ai.

When not Aldor

When Excel is still the right call.

We don't sell Aldor to providers without at least five clients yet. Excel is the pragmatic tool for that — save the Aldor fee and come back when the second employee joins.

  • Up to five clients, one employee

A spreadsheet does the job. You hold the overview in your head, you write three invoices a month. Aldor would be too much.

  • Without § 45a recognition yet

Aldor pays off once you're a recognised § 45a SGB XI provider. Before that, Excel and a good consultant are enough.

  • If you love free-form cells

Aldor works with a clear structure — client, employee, visit, service. If you keep cells like "Andreas knows how that works," Aldor will take a moment to get used to. We help with the transition.
